1. Who we are

Somnia Osbrain Foundation LBG ("we", "us", "our") is a non-profit organisation registered in Ghana and based in Bakpe, Ho West District, Volta Region. We operate the website osbrainfoundation.org and related online services to share our mission, programmes, and ways to support our work.

2. Information we collect

We may collect:

  • Contact & engagement forms: name, email, phone number, and message content when you contact us, volunteer, or inquire about partnership.
  • Technical data: standard server logs (IP address, browser type, pages visited, timestamps) generated when you use the website.
  • Admin accounts: if you are staff with CMS access, login credentials (passwords stored as one-way hashes) and session cookies needed to keep you signed in.

We do not intentionally collect sensitive personal data of children or programme beneficiaries through the public website forms.

3. How we use information

  • Respond to enquiries and partnership or volunteer requests
  • Operate, secure, and improve the website and admin tools
  • Send organisational updates only when you have contacted us or otherwise agreed
  • Meet legal, accounting, or safeguarding obligations where applicable

4. Legal bases

Depending on context, we process data because it is necessary to respond to your request, to pursue our legitimate interests as a non-profit (operating a public website and programmes), or where required by law. Where consent is required, we will ask for it.

5. Sharing

We do not sell personal data. We may share limited data with trusted service providers who help us host the website, process email, or process donations (for example GlobalGiving or payment processors). Those providers may only use data to perform services for us. We may disclose information if required by law or to protect the rights, safety, or property of the foundation, our communities, or others.

6. Retention

Form submissions are retained as long as needed to handle your request and for reasonable organisational records. Server logs are kept for a limited operational period. Admin accounts are retained while the user needs access.

7. Security

We use reasonable technical and organisational measures to protect data, including HTTPS where configured, access-controlled admin areas, hashed passwords, and security-focused HTTP headers. No method of transmission or storage is completely secure.

8. Children and programme participants

Our public site is not directed at collecting data from children. Programme-related photographs may appear for storytelling; we aim to present communities with dignity and avoid publishing unnecessary personal details about minors. Concerns about an image or story can be raised using the contact details below.

9. Your rights

Subject to applicable law, you may request access to, correction of, or deletion of personal data we hold about you, or object to certain processing. Contact office@osbrainfoundation.org and we will respond within a reasonable time.

10. Cookies

The public site uses essential cookies only as needed for basic operation. Staff admin login uses a secure session cookie to keep authorised users signed in. We do not currently use third-party advertising or analytics cookies on this portal. If that changes, we will update this policy.

11. International hosting

Our website may be hosted on servers outside Ghana. By using the site, you understand that information may be processed in the country where our hosting provider operates, subject to that provider's safeguards.

12. Changes

We may update this Privacy Policy from time to time. The "Last updated" date at the top will change when we do. Continued use of the site after updates constitutes acceptance of the revised policy where permitted by law.
